Separate supplier qualification from the product quotation
A quotation answers a commercial question for one scope and date. Qualification asks whether the supplier can repeatedly manufacture or source the approved material, document each lot, protect it in transit and respond to change or nonconformance. Both are required for a dependable bulk program.
Begin with an application-specific specification. State the ion-exchange duty, salt form, guaranteed chemical limits, reporting basis, test methods, packaging, destination and required documents. Mark each condition as mandatory or preferred. This prevents candidates from winning on price by silently quoting a different product or delivery scope.
Verify the legal supplier and the manufacturing route
Identify the contracting company, manufacturing site, exporter and any trader or subcontracted packer. Confirm which party controls the production record, lot release, retained sample and corrective action. A trading model is not automatically unacceptable, but the chain of responsibility must be clear.
Review business licenses and current certifications that are actually relevant to the requested product and site. Certification logos should not be treated as proof that a specific grade or lot meets the buyer’s requirements. Ask for the certificate scope, issuing body and validity, then connect critical claims to the controlling product documents.
Use samples and COAs correctly
Request a representative sample linked to a recent production lot and COA. The sample should be large enough to evaluate chemistry, particle form, packaging and brine behavior. Record who sampled it and whether it came from normal production. A hand-prepared sample with no traceability provides weak evidence of future shipments.
A technical data sheet describes the supplier’s standard product. A COA reports results for one lot. The purchase specification defines contractual acceptance. Compare the same analytical basis and methods; resolve unexplained differences before the plant trial. Require a lot-specific COA for every commercial shipment and retain samples according to the risk.

Audit quality controls that affect the delivered lot
Review raw-material control, batch or lot identification, sampling, laboratory methods, release authority, calibration, nonconforming material, retained samples and complaint handling. For formed tablets or pellets, also review compaction, dimensions, breakage and fines. For crystals or granules, review sieve control and contamination prevention.
The supplier should explain how bags, liners, pallets and labels are approved and inspected. Moisture damage, weak seals or inaccurate net weight can negate acceptable chemistry. For export shipments, review container condition, loading pattern, desiccation or moisture controls where needed, photographs, seal number and document matching.
Qualify capacity, lead time and continuity
Ask for normal monthly capacity, peak-season allocation, raw-material constraints, standard lead time and contingency arrangements. Compare these with trial volume, annual demand and safety-stock policy. A supplier that can fill a sample order may not be able to support a seasonal or multi-container program.
Document alternative sites or sources separately; they are not automatically covered by the original approval. Require notification and buyer approval before changes to manufacturing site, raw-material source, process, analytical method, additives, physical form or packing.
Make commercial offers directly comparable
Issue one bid sheet covering product basis, net quantity, bag and pallet scope, Incoterm, named port or place, delivery schedule, quotation validity, payment, inspection and documents. Evaluate delivered cost, not an isolated factory price. Record all exceptions so they cannot disappear into email correspondence.
Do not award solely from a weighted score. Any failure against a safety, regulatory or critical process requirement should remain a gate. Among compliant suppliers, score quality consistency, delivery, communication, corrective action and total cost using verified evidence.
